Job Summary

The Client Service Coordinator is responsible for providing administrative assistance to an assigned group of internal and external clients, coordinating all aspects of client service and assisting with routine client inquires.


  • Oversees the new client setup and client change process for assigned team including: Gathering complete information on new clients for new client setup, Coordinating the review of client due dates, Communicating and making XCM changes
  • Understands and monitors client due dates, including running XCM reports and coordinating meeting client due dates for assigned team
  • Maintains client contact information and instructions, completes IRS Address Change form
  • Coordinates, drafts and sends client information requests and client organizers based on information provided by accounting team members
  • Prepares or coordinates the preparation of engagement letters, letters, faxes, POAs and other documents as requested. Drafts letters to IRS and other taxing authorities
  • Scans, organizes, coordinates client tax data and assesses for missing information. Performs quality control review for tax workpapers scanned by receptionist.
  • Contacts clients for missing information required to complete their tax work
  • Follows up on and collects 8879s
  • Maintains ongoing communication and relationship with clients, including status updates on current projects
  • Processes client extensions based on information provided by accounting team members
  • Coordinates, assembles, and delivers tax documents for Skagit clients, and acts as backup to Whatcom assemblers and deliverers. Provides additional copies of records as requested by clients.
  • Monitors calendars and sets appointments related to client service and as requested
  • Performs monthly billing activities, generates invoices for Skagit office and fields client billing inquiries
  • Serves as backup to other Client Service Coordinators, Receptionist and Administrative team
  • Acts as a liaison between clients, accounting team and other administrative team members
  • Attends EOS department meetings and completes assigned action items
  • Provides Administrative Assistance to Skagit Partner and team
  • Performs miscellaneous clerical duties, as requested

  • Displays superior verbal and written communication skills, including advanced knowledge of grammar and punctuation standards
  • Ability to work in a deadline-driven environment and handle multiple projects / tasks
  • Ability to successfully multi-task while working independently or in coordination with other administrative or management professionals
  • Detail oriented and accurate
  • Capable of working and communicating effectively with professionals at all levels
  • Possesses advanced-level knowledge of popular word processing and administrative programs
  • Understands and maintains the confidentiality of all information
  • Ability to effectively utilize multi-line telephone system
