QUALIFICATIONS

  • Must be 18 years or older, with general good healthy and a positive, cooperative attitude
  • High school diploma or general education degree (GED); Or working toward completion of high school equivalency
  • Previous experience as a receptionist or assistant

SUMMARY

Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties

ESSENTIAL DUTIES AND RESPONSIBILITIES

(Include the following but are not limited to, other duties may be assigned)

  • Pick up, opens, dates and routes incoming mail. Prepare outgoing mail and correspondence including faxes
  • Prepares copies of correspondence or other printed materials
  • Copies and types routine correspondence
  • Organizes and maintains file system, and files correspondence and other records. Update school and medical records on children birth to three
  • Answers telephone calls, takes messages or directs to voice mail. Retrieves messages from voice mail and forwards to appropriate person
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Makes copies of correspondence or other printed materials
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Orders and maintains supplies for the office, and arranges for equipment maintenance
  • Orders program supplies
  • Maintains inventory log and annual inventory review
  • Send out monthly agendas and minutes for SPARC Board of Directors
  • Prepares daily deposits for all SPARC programs and deposits on regular basis
  • Requests & keep all prescriptions for children’s therapies up to date.
  • Sends monthly biller all necessary information to bill children’s private or Provider One insurance.
  • Other duties as assigned.
