The Administrative Coordinator supports day-to-day financial operations and asset lifecycle management. This role is responsible for processing accounts payable and receivable, reconciling payroll and credit card transactions, maintaining timecard records, and ensuring accurate tracking of agency assets. The Administrative Coordinator works closely with the Project and Procurement Manager. This position interacts with County offices and departments and external agencies for financial and program related issues as needed or assigned.
- Salary upon hire is dependent on Skagit County promotion policy
-Progressive increases are based on years on service with Skagit County, up to 10 total steps (top step $39.48/hr.). The Administrative Coordinator is range 13 of the General (Non-Union) salary schedule.Essential Functions

- Compile confidential, sometimes sensitive, and complex financial and statistical data used in formulating the annual budget.
- Prepare a variety of fiscal and narrative statistical reports and documents regarding expenses, revenues, projections, and budget variances.
- Participate in preparation of annual preliminary and final budgets including gathering of information, preparing documents for presentation, and engaging in budget work sessions.
- Process accounts payable and receivable entries, ensuring proper coding and documentation
- Reconcile accounts and prepare necessary journal vouchers and inter-governmental transfers.
- Reconcile credit card statements and follow up on missing receipts or discrepancies
- Create and prepare quarterly budget monitoring reports
- Review and validate employee timecards; assist with payroll processing and corrections
- Support monthly and year-end close activities, including journal entries and reconciliations
- Maintain asset inventory records, including acquisitions, disposals, transfers, and custodial assignments
- Coordinate asset tagging and physical audits across departments
- Reconcile asset data between ERP systems and field reports
- Track depreciation schedules and assist with capital asset reporting
- Enter and maintain financial and asset data in ERP/asset management systems
- Generate reports for internal use and external audits
- Identify and resolve data inconsistencies across systems and departments
- Respond to inquiries regarding financial transactions, timecards, and asset procedures
- Provide training and guidance to staff on documentation standards and asset handling
- Assist in developing SOPs and templates for consistent financial and asset practices
Supervisory:
This position has no direct supervisory responsibilities.

Minimum Qualifications

Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical path to obtain the required qualifications would be:
High School Diploma or GED required with 5 years of administrative or office experience, with experience in area related to work responsibilities.
Associate degree in Accounting, Finance, or related field with 3 years of related experience; or
Bachelor’s degree in accounting, Finance, or related field with 1 year of related experience.
Requires knowledge of:
- A functional understanding of computer equipment including desktops, laptops and other devices.
- Good expertise with Microsoft Office products, specifically Word, Outlook and Excel. Proficient with Internet Explorer and interfacing with various web sites. Able to quickly learn and utilize new technology.
- Different software licensing methods.
- Accounting and budgeting principles and practices.
- Strong analytic and math skills.
- Information systems processing and accounting applications

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
Work requires extended periods of sitting at a computer monitor up to 8 hours a day, use of a 10-key and a multi-line telephone, both requiring manual finger dexterity. Also required is the movement of heavy computer equipment such as monitors, workstations and networking devices. Must be available to work nights, weekends, or extended hours as needed for system failure resolution, hardware and software upgrades, and maintenance.
Hazards:
Those present in a normal office environment. Also includes long periods looking at the computer monitor, keyboarding, and a high degree of stress and technology equipment failure resulting in electric shock and/or noxious fumes.
