Position Summary

The Full Charge Bookkeeper is responsible for managing all day-to-day accounting functions for Puget Sound Food Hub Cooperative (PSFH). This role oversees the general ledger, payroll, accounts payable/receivable, reconciliations, and financial reporting. The Full Charge Bookkeeper ensures the accuracy and integrity of financial records, supports compliance with GAAP standards, keeps current all applicable taxes and licenses, and provides timely information to leadership for decision-making. This position plays a vital role in maintaining PSFH’s financial health and advancing its mission to strengthen local food systems through cooperative business.

These functions will require the bookkeeper to write letters or emails and make phone calls to customers, clients, vendors or any other agency or individual. The bookkeeper is responsible for managing office supplies, forecasting needs and purchasing.

Objectives

• Accountable for: (ownership of the outcomes of actions) Ownership of all bookkeeping and accounting functions, including managing the general ledger, collecting and processing payroll, maintaining accurate records, and preparing timely financial statements and reports in compliance with accounting standards, keeping current with all licensing, preparing and filing quarterly taxes, and preparing annual federal taxes to be submitted to outside accountant. This position will create and maintain a detailed written account of the procedures and practice used in the position.

• Responsible for: (participation and collaboration in the outcome of actions) Collaborating with management and program leads to monitor financial performance, support budgeting and forecasting, implement and uphold financial policies, and contribute to the cooperative’s fiscal sustainability.

Essential Functions

Accountable Functions:

Time Manage the full accounting cycle, including accounts payable, accounts receivable, general ledger, payroll, and bank reconciliations. Prepare and review monthly, quarterly, and annual financial statements. Perform regular month/year closings, including journal entries and accruals. Process biweekly payroll, including taxes, benefits, and L&I filings. Support annual budget preparation and produce monthly variance reports. Monitor cash flow and maintain accurate financial projections. Ensure compliance with GAAP and cooperative financial policies through maintenance and creation of robust internal controls. Reconcile inventory and cost of goods sold (COGS) between accounting and operational systems. Maintain accurate and organized records to support audits and financial reviews. Maintain and update accounting standard operating procedures (SOPs)

Responsible Functions:

Assist with Administrative and HR administrative tasks such as onboarding documentation and benefits administration. Support annual budgeting and cash flow forecasting with management. Provide financial insights to management for strategic decision-making. Participate in reporting on financial matters to staff, leadership or Board Participate in driving forward systemic and technological growth initiatives.

Physical Requirements

• Typing/Data Entry: Up to 8 hours per day

Required Skills & Experiences

• Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (or equivalent)

• 5+ years of full-charge bookkeeping experience, preferably in a small to mid-sized organization or cooperative environment

• Proficiency in both QuickBooks Desktop and QuickBooks Online

• Proficiency in the Microsoft Suite of apps, and related financial tools

• Strong understanding of GAAP and accounting best practices

• Experience with payroll processing, reconciliations, and financial reporting

• Experience with local, state, and federal licensing requirements and taxes

• Ability to manage multiple accounts and entities within a cooperative or multi-stakeholder model Desired Skills & Experiences

• Experience with Local Food Marketplace, Transaction Pro, or similar ERP/inventory systems

• Background in distribution, cooperatives, or nonprofit financial management

• Experience in preparing documentation for financial audits

• Advanced Excel skills, including pivot tables, semantic models, and data analysis Environmental Factors

• Work primarily in an office environment with occasional warehouse exposure

• Moderate noise levels during operational hours

• Predominantly independent work settings with occasional collaborative work environments

Schedule

• Full-time, non-exempt position

• Monday – Friday, 9:00 AM – 5:00 PM

• Some flexibility and occasional evening or weekend participation for meetings or events may be required Location

• Some hybrid or remote work available o Onsite a minimum of x3 days per week

Compensation

• $30-$35 per hour (DOE), non-exempt Benefits Puget Sound Food Hub Cooperative is an equal opportunity employer and provider of services.

• Eligible for health, vision, and dental insurance the first day of the month following 60 days of employment. o 75% of health premiums covered by PSFH. o 100% of vision and dental premiums covered by PSFH.
