Title: Clinic Supervisor, MA-C, LPN or RN
Location: Urgent Care Center - Bellingham (Primary)
Will need to travel to other UCC locations (Lynden & Mount Vernon).
City: Bellingham, WA
Position: Full-time, schedule includes multiple weekdays and alternating weekends, hours may vary depending on job duties. The Urgent Care Centers are open Monday-Friday 1:00pm-9:00pm and Saturday-Sunday 9:00am-5:00pm, non-exempt (hourly)
Compensation: The compensation range for the Clinic Supervisor, MA-C is $27.25-$38.14 per hour, Clinic Supervisor, LPN is $29.37-$44.08 per hour and Clinic Supervisor, RN is $32.97-$49.48. Placement within the wage range is determined by the candidate’s relevant experience. We also offer a $3.00/hr. shift differential for eligible evening and weekend hours. The Urgent Care Centers are open seven days a week, excluding Thanksgiving and Christmas.
Bonus: Employees are eligible annually to participate in discretionary bonus programs, as determined by FCN, which include the Years-of-Service bonus program, the Quality Performance bonus program, and the Performance Recognition bonus program.
Job Summary:
The Clinic Supervisor, UCC is responsible for the operations and supervision of the administrative and clinical support staff to provide the best quality patient care in accordance with Family Care Network policies and procedures. The clinic supervisor actively participates in hiring, training, scheduling, reviews, mentoring and conflict resolution.
Essential Job Functions:
Leadership:
- Assures the overall smooth operations of the front office and clinical staff.
- Actively participates in and promotes FCN Initiatives.
- Actively participates in the hiring process (i.e., screen applicants, schedule and conduct interviews)
- On-going staff development through coaching, cross training, and participation in internal /external education opportunities to improve or enhance job skills.
- Maintenance of a positive working environment through personal behavior
- Regularly communicates pertinent information to management and staff.
- Prepare clinic goals and objectives which support system initiatives; conduct regular review of progress towards goals and demonstrate satisfactory progress towards goals.
- Acts as liaison between patients, staff, and management at all UCC locations, solving problems, issues, and concerns in a professional manner.
- Act as a resource for staff to problem solve any issues/concerns, provide training, and communicate any updates on policies and procedures.
- Assist practice manager with emails regarding patient billing questions, portal questions or general questions or concerns.
- Responsible for collaborating with other departments and agencies, including meetings and committees as appropriate.
- Ensure routine clinical functions are monitored/assessed consistently to meet quality standards and compliance. (i.e.: medications and samples are checked for expirations and equipment is serviced and controls are performed according to manufacturer’s standards.)
- Delegating tasks to ensure the clinic is meeting the clinic standards.
- Ensure clinical and PSR staff meetings are held on a regular basis. When hosting, creating the agenda for the meeting as well as typing meeting minutes upon request by the PM.
- Attend scheduled clinical leadership meetings to review Regulatory, performance, clinical, legal/ethical or process concerns.
- Attending clinical meetings, clinical lead and PSR meetings. May also include provider meetings (as requested by the practice manager).
General Responsibilities:
- Clinical Excellence: Perform the clinical skill set of their role as MA-C, LPN or RN per FCN standards and act as a mentor as needed for staff to achieve competency.
- Act as a float to cover clinical tasks such as assisting with refills, portal messages, or other clinical documents and tasks as needed.
- Active member of the team participating in the daily functions of the front office as needed including but not limited to phone support, medical records, timely processing of fee slips, deposits, and accounts receivable.
- Patient-friendly and staff-supportive clinic operations
- Continuous development and implementation of efforts to improve patient Quality Care
- Ensure timely approval and submission of invoices for clinic expenses.
- Keep apprised of standards and changes in the industry and recommend changes as necessary.
- Maintain an adequate and safe environment to ensure compliance with state and federal regulations.
- Ensure that all medical and office equipment are in appropriate working order
- Procures and maintains office supplies as directed by the Practice Manager.
- Ensure clinic CPR certifications remain current.
- Ensure FCN required immunizations are current and received in a timely manner.
- Complete reports related to quality measures, CHA and Molina leakage.
- Actively supports the vision, mission, goals and objectives of Family Care Network, and interacts with other individuals, groups, and/or departments in making the vision a reality.
- Appropriate use and response to email in a timely manner.
Scheduling and Timekeeping:
- Manage scheduling such as creating the clinical assistants schedule and ensuring coverage for rooming, triage, and procedures.
- Managing clinical staffs vacation requests as well as providers.
- Update scheduling templates in EMR and outlook and make changes as needed.
- Accurate and timely administration of site payroll administration including review and approval of staff PTO hours and timecards in Paycom.
Regulatory Compliance:
- Ensure clinical staff performs their role in compliance with applicable laws and FCN guidelines.
- Responsible for ensuring adequate assessment, documentation, and communication to Practice Manager and FCN administration when violation of policy, laws, rules or scope of practice is in question.
- Ensure appropriate assessment and process resolution of compliance and regulatory issues: compose and submit Issue Reporting; follow guidelines for HIPAA, WISHA, DOSH and other regulatory agencies; and participate in coding audits and education for providers.
Performance Observations:
- Responsible for timely completion of new hire clinical training competency form.
- Responsible for ensuring demonstration and observation of operational procedures that are site specific are completed within the 90-day time period.
- In collaboration with Practice Manager, conducts annual performance reviews.
- In collaboration with Practice Manager, provides coaching and disciplinary action as needed.
- Assist practice manager with performance reviews which includes clinical assistant audits and feedback.
- Staff-supportive performance management and timely performance evaluations.
Additional Duties:
- Ensure timely renewal of State licensure or certification, including acquiring and tracking required continuing education units (CEUs).
- Promote and participate in company projects as assigned.
- Provide patients with support and/or treatment over the phone as directed by provider(s).
- Perform delegated functions using established procedures, policies, guidelines, and standards per FCN standards and Washington State Dept of Health scope of practice guidelines.
- Utilize clinical knowledge and critical thinking skills in delivering safe, effective, and therapeutic care of the patient per FCN standards within scope of license / certificate.
- Respond to patient phone messages, and processes requests, refills (within clinic protocols), and referrals in a timely manner.
- Employee seeks assistance as needed and communicates questions in a timely manner and to appropriate staff.
- Demonstrate competency in assisting Physician and/or APP as needed in procedures, visits, and management of patient flow.
- Additional duties as assigned.
Knowledge, Skills, and Abilities:
- Solid knowledge of medical practice operations and functions

- Proven employee relations skills, including conflict resolution.
- Intermediate computer skills, to include use of computer applications for health information systems, word processing, EMR, and spreadsheets.

Qualifications
Education and Experience:
- High school diploma or equivalent.
- 3 or more years’ practical experience in a medical office or related field preferred.
- Appropriate and current State license/certification (MA-C, LPN or RN).
- Acquire and maintain current BLS certification.
- A combination of experience and education may be acceptable.
Physical Requirements: While performing the duties of this job, the employee is required to stand, walk, sit, use hand to finger coordination, handle or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, and listen attentively. The employee must occasionally lift and/or move up to 30 pounds.
Immunization Requirements: All employees at Family Care Network (FCN) are expected to meet and maintain required immunizations as a contingency of employment. The immunization requirements are as follows: Influenza (annually), Tdap (after the age of 19), MMR, Varicella or a verified history of chickenpox disease, Two-step TST or IGRA (within the last 12 months), COVID-19 vaccine completed series and any additional immunizations determined necessary for the protection of staff and patients. Hepatitis B is also required for employees in positions with a high risk of bloodborne pathogen exposure, which includes the following: Providers, RNs, LPNs, MA-Cs, Clinical Aides, PSRs at all Urgent Care Locations, and all-laboratory staff. The Hepatitis B vaccine is strongly recommended for all other employees. FCN will cover the cost of required immunizations for any FCN employee. All employee immunizations will be administered by FCN staff except for the COVID-19 vaccine. The COVID-19 vaccine can be administered at a participating pharmacy or other healthcare location. Note: A medical or religious vaccine exemption/reasonable accommodation will be considered by submitting an FCN Exemption form for review and evaluation by the Chief Medical Officer.
