The Donor Development Coordinator is responsible for supporting all fundraising efforts, including donor relationships, end of year appeal, Spirit of Hope annual fundraising event, and special events. This position leads the agency’s constituent database (including volunteers, donors, elected officials, newsletter subscribers, and other relationships), training team members on database usage, maintaining accurate records, and producing detailed reports as needed. The coordinator will process all financial contributions, as well as lead all thanking activities, which includes tracking key metrics to inform donor stewardship strategies. The position is responsible for coordinating and tracking the private grant program and working alongside the agency’s grant writer and leadership to identify funding opportunities to write compelling and strategic requests.

This will be a full time position at 37.5 hours per week.

JOB DUTIES and RESPONSIBILITIES INCLUDE:

  1. Lead coordination of Annual Fundraising Plan, under direction of the Community Engagement Director and working with a Fundraising Team. Update monthly dashboard, track progress and keep others accountable for deadlines.
  2. Coordinate relationships with donors, foundations, businesses and other sponsorships, service clubs, vendors, communities of faith and other relationship portfolios.
  3. Manage data entry and records of confidential donor and prospect information, financial gifts, in-kind donations, and volunteer data. Train staff on database standards to ensure accurate and clean records. Optimize and maintain the DonorPerfrect database to track and strengthen constituent relationships, including documentation and reporting.
  4. Work with Finance Department to ensure donations are recorded and imported into agency software accurately.
  5. Coordinate private grants program, including prospect research, proposal and reporting writing, scheduling, stewardship, and grant tracking in collaboration with Development, Finance, and program teams. Lead weekly foundation grant meetings to review deadlines and opportunities. Coordinate meetings between agency leadership and funders and assist with prospect research and review of grant applications.
  6. Coordinate donor marketing and communications with Marketing & Communications team using DonorPerfect, Constant Contact, and social media. Draft monthly donor emails and social media content, coordinate the annual Impact Report and its mailing, and manage the donor newsletter, annual and special solicitations, and bulk mailings.
  7. Lead and track donor acknowledgements and receipts and drive continuous improvements efforts to make process more efficient.
  8. Coordinate outreach and fundraising events, including marketing, sponsorships, logistics, venue relations, and event data management. Support the Development Team in planning the annual Spirit of Hope signature event and other events outlined in the Fundraising Plan.
  9. Support the Board of Directors’ Donor Development Committee with scheduling, follow-up, note taking, and assigned projects.
  10. Promote a healthy, transparent, professional, and kind work environment.
  11. Attend staff meetings, training, and workshops as required.
  12. Other related duties as assigned by management.

QUALIFICATIONS INCLUDE:

Education & Experience

  • Bachelor's degree in related field preferred but not required.
  • Experience in fundraising, marketing and communications highly preferred.
  • Database management experience highly desired.
  • Experience using databases to source and track prospect and donor information preferred.
  • Or a combination of education/experience meeting required job qualifications.

License(s) & Certification(s)

  • Valid driver’s license and auto liability insurance required for work related travel.
  • First Aid & CPR Certified. (within 6 months of hire)

Skills & Abilities

  • Must possess strong data skills and have a high attention to detail.
  • Critical thinking skills. Ability to analyze and interpret data and relate to strategic plans.
  • Ability to work independently and as part of a team, knowing when to take initiative and accept direction.
  • Strong customer service and interpersonal skills that include proper etiquette in social and business settings.
  • Strong project management skills.
  • Strong organization and time management required, with ability to multi-task.
  • Ability to be an effective and positive ambassador for the agency.
  • Ability to navigate Microsoft Office applications, including Microsoft 365, Excel, Word, Teams and Outlook. Ability to work in DonorPerfect and QGive preferred.
  • Skills and ability to work in Canva, Adobe Creative Suite, Constant Contact, and social media desired.
  • Must have strong and effective communication skills (oral and written).
  • Competency of standard office procedures and equipment.
  • Demonstrated ability to work harmoniously with people from varied cultural, socioeconomic, educational and experiential backgrounds.

Compensation & Benefits

Starting pay wage range between $30.47 - $33.63 per hour (DOE)
