Under direction and within established guidelines performs a variety of potentially confidential and sensitive job functions relating to clerical and police support activities; maintains and disseminates criminal police records according to the law; processes a variety of reports, records, court documents and information requests, in support of police operations; aids the public. Job Responsibilities

- Enter case data such as arrests and crime information, traffic collisions, property and evidence records, citations and infractions, court orders and warrants into local records management system and state and national Law Enforcement Management System, including periodic validation of records; edit and code data to comply with National Incident Based Reporting System (formerly UCR); input corrections and updates; assure quality control for all police reports, criminal cases, and follow-ups; verify data for accuracy and completeness; maintain a variety of statistical records; purge information, as appropriate.
- Maintain accurate files of original criminal cases in chronological order; prepare cases received from officers to be forwarded to the appropriate Prosecuting Attorney, or court of jurisdiction; distribute subpoenas; determine retention period for case files, as required by law.
- Receive public disclosure requests for records, or records checks from outside agencies; determine if the requester is eligible to receive the record; make necessary redactions, and log dissemination.
- Answer multi-line telephones and respond to computer inquiries; assist the public at the counter; fingerprint; receive and record criminal information, including case dispositions. Receive and process property/evidence; verify ownership; release property as directed; purge property/evidence, as outlined in state law and department policy.
- Process Concealed Pistol Licenses, Firearm Dealer’s Licenses; determine eligibility, including a criminal history background check, local check, and DSHS eligibility confirmation; prepare documents for approval; issue to applicant and store for retention. Receive applications for weapons purchases and determine eligibility under the Brady Bill and document results.
- Receipt monies received in accordance with City of Anacortes cash handling policies and applicable laws.
- Operate a variety of office equipment; complete a variety of reports, forms, and logs, both routine and complex; file, copy, fax, and transmit electronic information; participate in, and maintain an accurate complex filing system; perform various other clerical duties, in support of assigned functions.
Qualifications

QUALIFICATIONS: Must be at least 18 years of age. Equivalent to High School and increasingly responsible office support experience preferably in Law Enforcement or related field, or an equivalent combination of education, training, and/or experience that provides the below knowledge, skills, and abilities.
Licenses and other requirements: Possession of, or ability to obtain, an appropriate valid Washington State Patrol Law Access Certification Level II within six months of employment. Possession of, or ability to obtain, an appropriate valid CPR Certificate. Possession of a valid Washington State driver’s license.
KNOWLEDGE AND ABILITIES:
Knowledge of:
- Proficient in the use of Microsoft Office Suite products
- Modern office procedures and methods, including computer and auxiliary equipment
- Principles and procedures of record keeping
- Correct English usage, spelling, grammar, and punctuation
- Basic functions of Spillman Records Management System, and WACIC/NCIC
- Pertinent Federal, State, and local laws, codes and ordinances regarding records dissemination and possession of weapons
Ability to:
- Operate a variety of office equipment, including transcription, fingerprinting, and communications equipment
- Utilize applicable software
- Adhere to strict confidentiality requirements when processing or accessing criminal records
- Handle multiple tasks simultaneously while meeting established guidelines
- Respond to requests and inquiries from the public (including difficult customers), in a positive, courteous manner
- Work independently in the absence of supervision
- Prepare and maintain complex records, reports, and files
- Establish and maintain effective working relationships with those contacted in the course of work
- Conform and adhere to the Chain of Command Management System
Miscellaneous Information

WORK ENVIRONMENT: Communication skills are necessary to maintain effective interaction and communication with others, sometimes in stressful situations. Work is primarily performed in an indoor office setting with extended periods at a computer.
PHYSICAL: Ability to hear telephone and perform data entry for long periods of time. Ability to see, read, and comprehend written materials. Also requires the occasional lifting of boxes and other materials weighing up to 50 pounds.
