Position Summary

The primary responsibilities for this position are related to HR Operations and Recruiting Coordination, with a few office administration and team support responsibilities. In this role you will work both onsite and from a home office approximately 10-15 hours per week and may establish a flexible schedule that works for you. This position reports to the CEO and provides HR services for a team of 18 regular staff plus summer seasonal camp staff. The top candidate will have a foundation of HR knowledge to successfully oversee all HR needs of our not-for-profit organization, with support available from outside resources as needed.

This position is a blend of administrative, process coordination and communication, problem solving, and team member service and support. In this role you will be a partner with management to manage employee engagement and transitions. This includes annual support and coordination of seasonal employee recruitment and onboarding for summer camps. You will be the primary contact for team members to ensure they have the information they need regarding their employment. With training resources available, you will be a super user and in-house expert on the Paycom system which drives all HR/People Operations processes. As a member of the administration team, you will contribute to camp activities and events to help create the “fun” at Camp Korey.

This is the ideal position for someone who has core HR knowledge and has had exposure to broad set of key HR functional areas and is ready to take on a sole HR role owning all people processes, systems, and services.

Key Responsibilities

Hiring Process Management

  • Coordinate the recruitment process and communicate with hiring managers
  • Finalize/edict job postings
  • Post jobs and manage applicant flow
  • Participate in the interview process as needed
  • Oversee the offer process
  • Ensure professional candidate management including decline notifications

Onboarding Process Management

  • Communicate processes and provide support for new hires
  • Launch Paycom background check process and employment record set up
  • Complete I9 administration steps
  • Communicate with the hiring team to ensure a well-coordinated and welcoming new team member experience
  • Facilitate new team member employment information meetings/seasonal employee sessions

Separations Offboarding Process Management

  • Complete separation checklist items and coordinate internal processes
  • Ensure employees leaving have all pertinent information for a smooth transition

Payroll Administration Supporting Outsourced Payroll Processing

  • Track and submit payroll and employment changes to payroll company
  • Complete Paycom Payroll system updates
  • Review payroll processed summary from outsourced payroll company
  • Key contact for employees, managers and outside payroll company

Policy Development and Employment Regulations Compliance

  • Review employee handbook working in partnership with management to make updates
  • Track employment regulation changes and impact on the organization, including monitoring for company size-based compliance updates

Benefits Enrollment & Communications

  • Administer Health and Welfare Plans; annual open enrollment support, provider system updates, cobra administration
  • Administer 401k Plan; employee communication, contribution and match data uploads, plan compliance support.
  • Oversee time-off programs; PTO, Holidays, Furlough, Flex Time
  • Manage workers compensation injuries: manager liaison, employee support, claim management
  • Manage leaves and ensure employee communications are completed

Background & Experience

  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience
  • Experience in an HR Generalist or similar role, or professional office experience combined with an HR degree or certification.
  • Knowledge of and experience in applying federal and WA state laws and regulations, as it relates to employment practices and policies.
  • Experience working with HRIS platforms, Paycom experience a plus
  • Well-developed communication skills and approach combined with a strong sense of the importance of employee service and connection.
  • Sense of ownership with demonstrated ability to work independently, together with the inclination to partner with colleagues and seek out others input and perspectives.
  • High degree of discretion, professional ethics, and judgment.
